Regional Administrative Assistant

Pennrose Management is excited to be hiring for a Regional Administrative Assistant for our Property Support Center in Philadelphia, PA.

This position is responsible for providing administrative support to the VP of Operations as well as the Regional Property Managers in the field. The qualified individual will coordinates schedules, arranges meetings, prepare and review correspondence, manages flow of information, and assists VP of Operations in meeting departmental goals.

Duties & Responsibilities

• Coordinates administrative function and completes tasks and projects specific to department (Accounting
and Finance, Marketing, Operations, etc.)
• Prepares correspondence on behalf of Director and department staff
• Liaisons with other departments and outside organizations. Serves as first point of contact for guests
• Demonstrates discretion when handing confidential information
• Schedules, coordinates logistics, and records minutes for meetings and other departmental functions
• Maintains department’s calendar and assists Director with managing his/her schedule
• Serves as project manager for special projects
• Assists with maintenance of the department’s finances. Organizes and processes check requests,
reimbursements, and credit card and travel-related expenses
• Prepares travel arrangements for off-site work activity, meetings, conferences, etc.
• Answers and screens telephone calls
• Maintains and updates department’s filing system
• Manages department’s contact database
• Completes administrative duties including typing, copying, faxing, scanning, filing, mail processing, and
distributing information as directed
• Maintains strict adherence to invoice approval policy. Position does not have authority to purchase any
goods or services

Required Education & Experience

• High School diploma or equivalent
• Bachelor’s degree preferred
• 3+ years progressive experience as an Administrative Assistant
• Knowledge of office administration and procedures
• Intermediate knowledge of event planning
• Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint
• Excellent customer service skills
• Excellent analytical and problem solving skills
• Excellent written and verbal communication skills
• Ability to work independently
• Ability to contribute to a team
• Ability to organize and prioritize work
• Ability to perform in a busy, multi-tasking work environment
• Ability to pay close attention to detail and adhere to strict deadlines
• Ability to work with all levels of staff and management
• Requires ability to sit at a desk for an extended period of time
• Requires ability to read, speak, and comprehend the English language

Additional Requirements
• Requires the ability to travel (to properties, training, errands, etc.)
• Valid driver’s license preferred. This requirement could change depending on the staffing and needs of the
property
